The problem
A personal trainer whose business grew through WhatsApp — which is exactly where it started to break. Every new client meant the same ritual: sending questions one at a time (what’s your goal? any conditions or medication? how many days can you train?), waiting for answers, then chasing them across dozens of chats when it was time to build the plan.
Follow-up was just as manual: training plans, nutrition plans, and each athlete’s progress, all tracked by hand. It worked with 10 clients; it didn’t work for growing.
The solution
We built the system as two pieces that talk to each other.
The onboarding landing. A guided online questionnaire — 5 steps, 16 questions: contact, goals and current photos, training habits, nutrition, and health. Athletes complete it from their phone at their own pace, upload front, back, and side photos, and everything lands directly in the trainer’s dashboard. What used to be an interrogation over chat is now a single link.
The dashboard. The back office where the whole operation lives: every questionnaire arrives with a status (submitted → reviewed → processed), every client has their own record, and the trainer assigns training plans per person with a weekly planner — exercises, sets, calendar. Each athlete’s progress, photos included, lives in one place instead of being reconstructed chat by chat.
Ads you can measure
Having his own landing page was never just aesthetics — it’s marketing infrastructure. The trainer invests in Meta campaigns, and the platform makes them measurable with A/B testing: each ad drives to a landing variant (version A or B, selected by a URL parameter), so he can measure which ad + page combination generates more completed questionnaires — and ad spend stops being a gut-feeling decision.
That’s the pattern we like: first bring order to the operation, then turn it into a machine that learns.
